Terms of Service

These Terms govern access to and use of the SuiteFlow website, salon suite owner portal, tenant mobile application, and related services.

1. Acceptance of These Terms

These Terms of Service govern your access to and use of the SuiteFlow website, salon suite owner portal, tenant mobile application, and related products and services.

By creating an account, accepting an invitation, accessing SuiteFlow, or using any part of the service, you agree to these Terms and the SuiteFlow Privacy Policy. If you do not agree, do not use SuiteFlow.

If you use SuiteFlow on behalf of a business or organization, you represent that you have authority to accept these Terms on its behalf.

2. Eligibility

You must be at least 18 years old, or the age of legal majority where you live, to create or use a SuiteFlow business or tenant account. You may not use SuiteFlow if you are prohibited from doing so under applicable law.

3. The SuiteFlow Service

SuiteFlow provides business-management software for salon suite owners, operators, team members, and tenants. Available features may include applications, tenant and suite management, leases, electronic signatures, invoices, payments, announcements, maintenance requests, messaging, documents, notifications, reporting, and multi-location management.

Some features depend on the subscription selected by the suite owner, the settings enabled by the organization, third-party services, or availability in a particular location.

4. Accounts and Invitations

You must provide accurate information, keep your login credentials confidential, and promptly update information that changes. You are responsible for activity performed through your account unless you promptly report unauthorized access.

Tenant access may require an invitation code provided by a suite owner. You may use an invitation code only if you are the intended recipient or are otherwise authorized to connect to the associated tenant record.

Suite owners are responsible for selecting appropriate access levels for managers, staff, accountants, tenants, and other invited users.

5. Suite Owners and Tenants

SuiteFlow provides technology that supports the relationship between a suite owner and a tenant. SuiteFlow is not a landlord, property manager, employer, real-estate broker, legal representative, collection agency, or party to a lease between a suite owner and tenant.

Suite owners are responsible for their properties, lease terms, rent amounts, fees, tenant decisions, notices, maintenance obligations, legal compliance, and communications. Tenants are responsible for reviewing their lease, invoices, payment instructions, and information provided by their suite owner.

Questions or disputes concerning a suite, lease, charge, maintenance decision, payment obligation, or owner policy should generally be addressed directly between the suite owner and tenant.

6. Subscriptions and Trials

SuiteFlow may offer salon suite owners a free trial or paid subscription through the SuiteFlow website. Trial length, plan features, pricing, billing intervals, and usage limits are displayed when a plan is selected and may change for future purchases.

Unless otherwise stated at purchase, subscriptions continue for the selected billing period until canceled. Subscription management and cancellation may be completed through the available SuiteFlow or Stripe billing controls.

The SuiteFlow tenant mobile app does not sell a digital subscription to tenants. Tenant access is provided through the tenant’s relationship with a participating suite owner.

7. Payments and Transactions

SuiteFlow may allow suite owners to connect Stripe and may allow tenants to pay rent or invoices using card or Apple Pay when available. These payments relate to real-world suite rental and associated services.

Payment processing is provided by Stripe or another identified payment provider. Your use of a payment method is also subject to that provider’s applicable terms and privacy practices.

Suite owners may enable offline or external payment methods. SuiteFlow does not control transfers completed through Cash App, PayPal, Zelle, Venmo, bank transfer, cash, or another external service.

A payment is not considered successfully processed merely because it was initiated. Users should confirm the final payment status and address reversals, disputes, refunds, or incorrect charges with the suite owner and applicable payment provider.

8. Electronic Documents and Signatures

SuiteFlow may allow users to review, generate, send, download, and electronically sign leases or other documents. By applying an electronic signature, you intend that signature to be associated with the relevant document and acknowledge that electronic records may have legal effect.

SuiteFlow does not provide legal advice and does not guarantee that a document, clause, signature, or workflow is sufficient for a particular legal purpose or jurisdiction. Users are responsible for reviewing documents and obtaining professional advice when appropriate.

9. Customer Data and Uploaded Content

You retain your rights in information, documents, photos, logos, messages, and other content you submit to SuiteFlow. You grant SuiteFlow a limited right to host, process, transmit, display, and back up that content as necessary to provide, secure, and improve the service.

You may submit content only when you have the right and authority to do so. Suite owners are responsible for having an appropriate basis to collect and manage tenant, employee, applicant, property, lease, payment, and business information.

SuiteFlow’s handling of personal information is described in the SuiteFlow Privacy Policy.

10. Communications

SuiteFlow may send service-related communications, including account confirmations, tenant invitations, signature requests, payment updates, security notices, and support responses.

Messages exchanged between suite owners and tenants must be used for legitimate business and tenancy-related purposes. Users may not send unlawful, threatening, harassing, deceptive, abusive, or infringing content.

11. Acceptable Use

You agree not to misuse SuiteFlow or assist another person in doing so.

  • Do not access an account, organization, tenant record, suite, document, or system without authorization.
  • Do not bypass security controls, probe for vulnerabilities, interfere with service operation, or introduce malicious code.
  • Do not use SuiteFlow for fraud, unlawful discrimination, harassment, impersonation, money laundering, or any illegal purpose.
  • Do not upload content that is unlawful, defamatory, threatening, abusive, deceptive, infringing, or that violates another person’s privacy.
  • Do not scrape, copy, reverse engineer, resell, or exploit SuiteFlow except as expressly permitted by law or written authorization.
  • Do not use automated systems in a way that places an unreasonable burden on SuiteFlow infrastructure.

12. SuiteFlow Intellectual Property

SuiteFlow and its licensors retain all rights in the service, including its software, design, branding, logos, text, graphics, workflows, and other materials, excluding customer data.

Subject to these Terms, SuiteFlow grants you a limited, revocable, non-exclusive, non-transferable right to use the service for its intended business or tenant purposes.

13. Third-Party Services

SuiteFlow may integrate with or link to third-party services such as Supabase, Stripe, Google, QuickBooks, external payment applications, or other providers. Third-party services are governed by their own terms and privacy practices.

SuiteFlow is not responsible for a third party’s service, availability, security, content, or independent actions. An integration may be changed, suspended, or discontinued if the provider changes its service or access requirements.

14. Availability and Changes

SuiteFlow works to provide a reliable service but does not guarantee that every feature will always be available, uninterrupted, secure, or error-free.

We may maintain, update, add, modify, suspend, or discontinue features to improve SuiteFlow, address security or legal requirements, or respond to changes in third-party services. We will provide notice when required by law or when a change materially affects an active paid service.

15. Suspension, Termination, and Account Deletion

SuiteFlow may restrict or suspend access when reasonably necessary to protect users, prevent fraud or abuse, address a security risk, comply with law, or enforce these Terms.

Tenant users may permanently delete their authentication account and linked user profile through Profile Settings, Security, and Delete Account in the tenant app. Certain lease, payment, maintenance, communication, signature, and business records may be retained by the suite owner or SuiteFlow as described in the Privacy Policy.

Termination or deletion does not eliminate payment obligations, legal rights, or provisions of these Terms that by their nature should survive.

16. Disclaimers

To the fullest extent permitted by law, SuiteFlow is provided on an “as is” and “as available” basis. SuiteFlow disclaims warranties that are not expressly stated, including implied warranties of merchantability, fitness for a particular purpose, title, and non-infringement.

SuiteFlow does not guarantee occupancy, rent collection, legal compliance, profitability, tenant performance, payment completion, enforceability of documents, or the outcome of any dispute.

Nothing in these Terms excludes warranties or consumer rights that cannot legally be excluded.

17. Limitation of Liability

To the fullest extent permitted by law, SuiteFlow will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, or for lost profits, revenue, data, goodwill, or business opportunities arising from use of or inability to use the service.

Where liability cannot be excluded, SuiteFlow’s total liability for claims relating to the service will not exceed the amount paid to SuiteFlow for the applicable service during the twelve months before the event giving rise to the claim.

These limitations apply only to the extent permitted by applicable law.

18. Changes to These Terms

We may update these Terms to reflect changes to SuiteFlow, applicable law, or our business practices. The updated Terms will be posted on this page with a revised effective date.

When required, we will provide additional notice. Continued use of SuiteFlow after updated Terms take effect constitutes acceptance of the updated Terms.

19. General Terms

If a provision of these Terms is found unenforceable, the remaining provisions will remain in effect. Failure to enforce a provision is not a waiver of the right to enforce it later.

You may not transfer your rights or obligations under these Terms without SuiteFlow’s consent. SuiteFlow may transfer these Terms as part of a merger, financing, reorganization, sale of assets, or similar transaction.

These Terms, together with the Privacy Policy and any applicable purchase terms, form the agreement between you and SuiteFlow concerning the service.
