This Privacy Policy explains how SuiteFlow handles information across our website, salon suite owner portal, tenant mobile application, and related services.
1. Scope of This Policy
This Privacy Policy explains how SuiteFlow collects, uses, discloses, retains, and protects personal information when you use the SuiteFlow website, owner portal, tenant mobile application, and related services.
SuiteFlow provides software that salon suite owners use to manage their businesses and tenant relationships. In some circumstances, a salon suite owner determines why and how tenant information is used. Tenants may therefore also wish to review the privacy practices of their suite owner.
2. Information We Collect
The information SuiteFlow collects depends on how you use the service and which features your suite owner enables.
- Account information, including your name, email address, password credentials, role, and account identifiers.
- Tenant and business information, including business name, phone number, emergency contact information, suite assignment, location, move-in date, rent amount, and account status.
- Property-management information, including applications, leases, invoices, payment records, announcements, maintenance requests, notes, and related activity.
- Communications, including messages exchanged between tenants and suite owners and support requests sent to SuiteFlow.
- Documents and signatures, including leases, uploaded documents, signature records, and information needed to document agreement activity.
- Photos and files you choose to upload, such as a business logo or photos attached to a maintenance request.
- Notification information, including your notification permission status, preferences, and a device push token used to deliver optional alerts.
- Payment-related information, including payment amount, method, status, invoice details, transaction identifiers, and processor records. SuiteFlow does not directly store full payment-card numbers.
- Technical and usage information, such as IP address, browser or device type, operating system, security events, timestamps, and diagnostic information generated when you use the website or application.
- Cookie and similar-technology information collected through the SuiteFlow website where those technologies are enabled.
3. How We Collect Information
We collect information directly from you when you create an account, enter an invite code, complete a form, make or record a payment, send a message, sign a document, submit a maintenance request, upload a file, or contact support.
We may also receive information from your suite owner, authorized members of their organization, payment processors, authentication providers, and other service providers used to operate SuiteFlow.
4. How We Use Information
SuiteFlow uses personal information to provide, maintain, secure, and improve the service.
- Create and authenticate accounts and connect tenant accounts to the correct suite owner.
- Provide tenant, suite, lease, invoice, payment, maintenance, messaging, document, notification, and reporting features.
- Process and verify payment activity and maintain appropriate transaction records.
- Send account, invitation, signature, service, security, notification, and support communications.
- Prevent fraud, abuse, unauthorized access, and other security threats.
- Troubleshoot errors, maintain service availability, and improve SuiteFlow features.
- Comply with legal obligations, enforce our terms, and establish or defend legal claims.
5. Photos, Notifications, and Device Permissions
The SuiteFlow tenant app requests photo-library access only when you choose to add a business logo or attach photos to a maintenance request. You may decline access and continue using features that do not require an upload.
SuiteFlow does not use photo access for advertising, tracking, facial recognition, or to build a separate photo database. Uploaded files are used to provide the feature for which you selected them.
SuiteFlow requests notification permission only when offering optional alerts for invoices, messages, lease signatures, announcements, maintenance updates, and other account activity. You may decline notification permission and continue using the app, including its in-app notification center.
When notifications are enabled, SuiteFlow stores a device push token associated with your account and uses it to route alerts through Expo and Apple Push Notification service. Notification previews are designed to avoid displaying private payment details, message contents, or other sensitive account information.
6. Payments
SuiteFlow uses Stripe to facilitate certain subscription, rent, invoice, card, and Apple Pay transactions. Payment information you provide during Stripe-hosted checkout is handled under Stripe’s privacy and security practices.
SuiteFlow may receive limited payment information from Stripe, such as transaction identifiers, payment status, amount, payment method type, and related account information. SuiteFlow does not directly receive or store full payment-card numbers.
Suite owners may also enable external or offline payment methods. Information shared directly with a suite owner through those methods is also subject to that suite owner’s practices and the applicable payment provider’s terms.
7. Service Providers and Disclosures
SuiteFlow may disclose information to service providers that process data on our behalf or are needed to provide a feature you request. These providers are permitted to use information only as allowed by their agreements and applicable law.
- Supabase for authentication, database services, file storage, and backend infrastructure.
- Vercel for website and application hosting and delivery.
- Stripe for payment processing, connected-account services, subscriptions, card payments, and Apple Pay where available.
- Resend for transactional email delivery, including invitations and signature requests.
- Cloudflare for security, abuse prevention, and verification services such as Turnstile.
- Google when a user chooses an available Google authentication feature.
- QuickBooks or another optional integration only if a customer enables that integration.
- Expo and Apple Push Notification service for optional mobile notification registration and delivery.
We may also disclose information when required by law, to protect the rights and safety of SuiteFlow or others, in connection with a business transaction, or with your direction or consent. SuiteFlow does not sell personal information or share personal information for cross-context behavioral advertising.
8. Data Retention
SuiteFlow retains information for as long as reasonably necessary to provide the service, maintain security, comply with legal and accounting obligations, resolve disputes, enforce agreements, and support the legitimate business records of suite owners.
Retention periods vary by the type of record. Authentication data may be removed when an account is deleted, while executed leases, invoices, payment histories, signature records, maintenance records, and other business or transaction records may be retained when required or permitted by law or needed by the suite owner to document the tenancy or business relationship.
When information is no longer reasonably needed, SuiteFlow may delete, anonymize, or securely isolate it in accordance with applicable requirements.
9. Account and Data Deletion
Tenant users can initiate permanent account deletion inside the SuiteFlow tenant app by opening Profile Settings, selecting Security, selecting Delete Account, and completing the confirmation process.
Deleting a tenant account permanently removes the user’s SuiteFlow authentication account and linked user profile and immediately ends access to the tenant portal.
Certain records created as part of the tenant’s relationship with a suite owner may remain with that suite owner after account deletion. These may include the tenant record, executed leases, invoices, payments, maintenance history, communications, and other records that the suite owner or SuiteFlow must retain for legal, accounting, fraud-prevention, dispute-resolution, or legitimate business purposes.

10. Your Privacy Choices and Rights
Depending on where you live, you may have rights to request access to, correction of, deletion of, or a copy of certain personal information. You may also have the right to withdraw consent or object to certain processing, subject to legal limitations.
You may update certain account details through SuiteFlow or submit a request to support@mysuiteflow.com. We may need to verify your identity before completing a request. We may deny or limit a request when permitted or required by law and will explain the reason when applicable.
You can control photo and notification access through your device settings. You can also control browser cookies through your browser or available website consent controls.
11. Data Security
SuiteFlow uses reasonable administrative, technical, and organizational safeguards designed to protect information from unauthorized access, loss, misuse, alteration, or disclosure. These safeguards include access controls, authenticated sessions, encrypted network transmission, and restricted administrative access.
No internet-based service can guarantee absolute security. You are responsible for protecting your password and promptly notifying SuiteFlow if you believe your account has been compromised.
12. International Processing
SuiteFlow and its service providers may process information in the United States, Canada, or other countries where they operate. Privacy and data-protection laws in those locations may differ from those in your location. Where required, SuiteFlow uses appropriate measures for cross-border processing.
13. Children’s Privacy
SuiteFlow is a business-management service and is not directed to children. You must be at least 18 years old, or the age of legal majority where you live, to create a SuiteFlow business or tenant account. We do not knowingly collect personal information from children through the service.
14. Changes to This Policy
We may update this Privacy Policy to reflect changes to SuiteFlow, our service providers, or applicable requirements. We will post the updated policy on this page and revise the effective date. When required, we will provide additional notice through the service or by email.
